Examples of the Event Coordination services I offer

Event coordination

Conduct most of the administration tasks, keeping the organisation up to date with progress to ensure the event planning is progressing as expected.

This can include:

  • sourcing venues and accommodation (where required)

  • Producing templates digitally that are required for the day (agenda; attendees list, name badges, slide pack (including coordination of all speakers into a master pack), venue coordination document (e.g. location, how can travel there, agenda etc.)

  • assist with speakers (from initial contact through to ensuring they know where they need to be on the day (including virtual events)

Host events

Host events on the day.

This can include in-person and virtual events. Tasks include:

  • greeting guests upon arrival

  • ensuring that all venue information is known

  • act as the contact with the venue as required.

Event plan production

Discuss and finalise an event plan and timeline.

This can include:

  • creation of a personalised checklist and project initiation document

  • creation of a project plan (including activity leads)

  • finalise the event objectives and outcomes

  • discuss if other suppliers are required (e.g. workshop coordinators and report writers).
